As a Facilities and Transport Administrator, you will be responsible for providing comprehensive support to the business by building strong relationships with key stakeholders and focusing on maintaining trackers, procuring good and services, overseeing building maintenance and managing projects. What Your Day-to-Day Will Look Like:

📞 As our Facilities Administrator, you will be the face of the business, based at the front desk, and responsible for creating a professional and welcoming environment for clients, visitors, and staff. You will interact confidently with both internal and external stakeholders, ensuring that all communications reflect the company’s standards. Maintaining a tidy, organized, and presentable reception at all times will be a key part of your role.

You will take ownership of access control as a priority, ensuring that all access databases and trackers are accurate and up to date. Oversight of site security, including CCTV monitoring and coordination with security teams, will form part of your responsibilities. You will proactively manage the facilities ticketing system, ensuring that all requests are logged, actioned, and resolved within SLA timelines, while effectively managing multiple queries in a fast-paced environment.

You will be responsible for coordinating and tracking parking bay allocations, managing lockers and office supplies, and overseeing asset control, including issuing, tracking, and maintaining equipment. Additionally, you will manage transport operations for staff and clients, coordinating pick-ups and drop-offs, monitoring efficiency, and reporting on transport audits. Your role includes supervising onsite contractors, coordinating access, and ensuring that all work permits and necessary documentation are completed prior to the commencement of any work on site. You will also liaise with landlords, manage maintenance requests, arrange callouts when necessary, and respond promptly to facility emergencies, ensuring minimal disruption to operations.

You will lead facilities-related projects from start to finish, including planning, obtaining comparative quotes, and ensuring projects remain within budget while efficiently managing all aspects to meet deadlines and quality standards.

This role also includes supporting health and safety compliance, ensuring that all facilities operations adhere to company and legal standards, and contributing to sustainability initiatives across sites.

 

This role requires a proactive, highly organized, and adaptable individual who can multitask efficiently, manage competing priorities, and consistently deliver exceptional results. You will play a critical role in ensuring the smooth operation of our facilities, supporting both staff and client experience while maintaining operational excellence.

 

Requirements:

  • You have a Matric (Grade 12) or equivalent qualification
  • Administrative Diploma/equivalent is advantageous
  • Previous experience within in similar role (advantageous)
  • You have 2 - 3 years’ experience completing administrative duties
  • Proficient skills in the use of Microsoft Office products, particularly Excel
  • You can display a strong sense of resilience whilst under pressure
  • You have a good command of the English language (written and verbal)
  • You are confident and thrive in pressured environments
