What Your Day-to-Day Will Look Like

📞 You will manage calendars, schedule meetings and appointments with good planning skills and foresight. You will coordinate internal and external meetings, often across time zones with stakeholder groups. You will screen and prioritize emails, calls, and messages on behalf of the Operations Director. You will draft, edit, and send professional communication, ensuring alignment with the tone and brand of Sigma Connected. You will serve as a liaison between the Operations Director and internal/external stakeholders. You will handle logistics for off-site meetings, conferences, and events.

You will prepare agendas, briefing notes, presentations, and documents for meetings. You will take minutes, capture actions, and ensure follow-ups are tracked and completed. You will help drive accountability by tracking key tasks and flagging risks or delays to the Ops Director. You will manage sensitive and confidential information with the utmost discretion. You will act with integrity and professionalism in all interactions and decisions. You will process all expense receipts provided by the Ops Director and provide support to the Finance team, with set monthly reports.

💡You are a highly organized and professional Admin Assistant with strong interpersonal and administrative skills. You can provide support to senior management. You can combine a welcoming customer-focused approach with a proactive attitude towards office tasks. You are dedicated to ensuring smooth daily operations while also offering administrative assistance to executives. You have previous PA experience which includes, diary management, note taking, actioning trackers and minute taking. 

Requirements:

  • You have 1-2 years experience in a receptionist or administrative support role within an office or corporate environment.
  • You have previous BPO or contact centre, executive PA experience. 
  • You have excellent verbal and written communication skills with the ability to interact with internal and external stakeholders at all levels.
  • You have strong attention to detail with the ability to multitask and prioritize tasks effectively.
  • You are competent in using office software such as Microsoft Office (Word, Excel, PowerPoint) and other relevant tools.
  • You have a proactive approach to problem-solving, with a strong ability to handle sensitive and confidential information with integrity.
